How to template a Cover Letter?
Don’t start writing until you finish your research. Know the title, all the job requirements, education, and years of experience you must have to qualify for the job. You don’t have to be a wordsmith to produce a one page cover letter. Glittering generalities will get you nowhere. Compare your qualifications to the requirements. If there are 9 requirements and your qualifications match only 4 or 5 of the 9, think again.
Think you qualify? Then let’s go.
Start with a table. Set it up one quarter of the way down the page a two column, 9 or 10 row chart and head left hand column “Requirements” and head right hand column “Qualifications.”
Number every row twice and consecutively. Once in the left hand column under “Requirements” and once in the right hand column under “Qualifications”. Key: You want the reader’s eye to read left to right only.
Become a “slave” to words found in job posting or job description to describe job requirements If it says “Bachelor’s Degree Required,” use those exact words; nothing more, nothing less. Place those words in numbered row number one under “Requirements”. Opposite and to the right, insert your qualifications in numbered row number one.
In the next 8 or 9 rows, each numbered twice, insert the job requirements. To the right under “Qualifications”, briefly describe your qualifications only. No need for whole sentences. Insert keywords. If you are familiar with and use Word and Excel and Access daily, keyboard that in as follows, “Use daily: Word, Excel “&” Access.” Avoid saying “Microsoft Office.” It’s too generic. Not a keyword.
When the table is filled out insert just above the top edge or border the following sentence:
“In response to your job posting, I have listed some of my qualifications to parallel your stated requirements for…(title of position in bold face upper and lower case).”
Immediately under the bottom border line of table insert the following sentence:
“There are other areas of accomplishment in my background that could also interest you. You may expect a call from me in the next 48 hours to arrange a mutually convenient day, date, and time to meet. Resume is enclosed. Contact number 555.555.5555.”
At the very top of the letter centered and stacked keyboard your full name first in 14pt bold face upper & lower case; next in light face upper and lower case, your home city, your state; then in light face your best phone number (just one please); and finally, centered, your primary e-mail address only.
Next, centered underneath your e-mail address in 16pt Bold Face, upper and lower case, insert the title of position or job as a headline. This tells the reader your cover letter is fresh and current.
To the left stack, margin left, Date of your letter. Under that keyboard “Posting” or “Requisition” number if there is one. Under that insert “Closing Date” if you know it. Under that print “Attn: Name of recruiter” or “Name of Hiring Official”, if you have that data.
Finally at the bottom left on the letter insert this closing,
“Sincerely,
(Your full name)”
