Writing an Nomination Letter for an Award

Nominating a colleague for an award can be a large undertaking that requires a lot of thought and careful planning. Nominating your friend has many benefits, however. Someone from your business will be nominated, which makes your business look good and you will have practice writing a detailed case for an award, which helps your writing award nomination letter. In addition, your friend will remember the time and effort you went through to nominate her and later on she may nominate you when another award becomes available. Take special care to write a clear, convincing case for your nominee so she has the best chance of winning.

1. Read the award criteria carefully to make sure that your nominee is eligible. You will make yourself and the nominee look foolish if she doesn't meet the criteria for the award.

2. Brainstorm a list of reasons why your nominee should win the award. Focus on her achievements and the results of her work; awards committees want concrete details that go above and beyond the normal expectations.

3. Load the printer with a piece of letterhead, if applicable. If you do not have letterhead, type your address without your name.

4. Skip a line space, and type the full date. Skip another line space, and type the name of the person on the awards committee to whom the letter will be addressed, the name of the awards committee and the address for the committee.

5. Skip a line space, then type "Dear Mr./Ms. (Name)" followed by a colon. If you do not know to whom the letter is going, type "Dear Awards Committee" followed by a colon. Skip another line space.

6. Identify the candidate and the award when beginning the opening paragraph. The committee may be deciding on several awards, so being specific will help the committee place the candidate in the correct category. Write a brief outline explaining why the candidate should win the award.

7. Refer to your list of reasons why the candidate should receive the award. Begin a new paragraph for each criterion that you will cover. Explain clearly why the nominee went above and beyond in her work for each criterion. Use specific language and describe the projects or activities she completed and focus on the results she achieved.

8. Type "Sincerely," then skip three line spaces to close the letter. Then, type your name. Immediately after your name, type your title, if applicable.

9. Print the letter, and sign your name in the space between the closing and your name.

10. Mail the letter via certified mail if it is going to a location outside of your company. Certified mail gives a signature confirmation so that you will know that the committee received your nomination.
